After partnering with risk and safety managers responsible for fleet management at client organizations across a wide array of industries, we’re excited to announce the launch of our Driver Qualification File (DQF) functionality.

We’ve found that risk managers, safety managers, HR, and operations managers must often resort to manual, repetitive tasks to ensure compliance with various regulatory entities, including the department of transportation (DOT) and Federal Motor Carrier Safety Association (FMCSA). By creating a standard offering for teams to ensure that up-to-date DQF data — such as drug and alcohol test results — is in a centralized electronic system, team members can easily see what documents are missing or expired, requiring timely action. Electronic management of DQFs also allows them to have more time to spend on activities that contribute to reduced workforce incidents and injuries.

The DQF dashboard allows risk, safety, and operations professionals to see key metrics related to driver status and flag DQFs requiring action.

Key Features & Benefits of Origami’s Driver Qualification File (DQF) Solution

We’ve designed the solution to make sure it’s as easy as possible to:

  • Require specific documents based on the Driver Qualification File Checklist from FMCSA (such as Commercial Driver’s License (CDL), Motor Vehicle Record (MVR), Drug and Alcohol Test Documentation). Configure requirements to fulfill both initial hire and ongoing compliance for individual employees or groups of employees to legally and safely operate commercial vehicles
  • Allow admins to verify uploaded files and configure settings related to expiration of documents based on internal or regulatory agency requirements
  • View out-of-date and complete files
  • Send reports to compliance officers and other third parties (i.e., for DOT audits)
  • Send automated notifications to inform employees and supervisors of expiring documents
  • Print the entire DQF on demand

With these features, risk, safety, and operations teams can eliminate paper forms and spreadsheets and drive efficiency by automating compliance activities. Not only does this allow those teams to take timely action to avoid potential fines, this also opens up the possibility for teams to spend more time on powerful face-to-face interactions that allow them to communicate safe practices across their organizations. Ultimately, these safe practices can help prevent incidents and injuries and, as a result, reduce worker’s compensation and auto liability claims.

DQF Example

Origami’s DQF solution allows you to easily view files for DOT compliance and flag those files as complete or expired on the employee record.

A single electronic system for DQFs also enables teams to ensure that employees are in compliance, that drivers are safe on the road, and that organizations are ready for DOT audits.

In addition to our DQF offering, Origami provides other ways to stay on top of environmental and regulatory compliance obligations, including an compliance task calendar and an integration with STPCompliance EHS, which allows the import of regulations across over 100 jurisdictions including all 50 states.
